FAQ
How can I save space and to free up valuable workspace needed?
Multi-functional printers can help you optimize workspace environments and improve document workflows. These are important benefits in today’s work environments, where office space is very limited and square footage is expensive. Multifunction printers handle printing, scanning, copying, and faxing needs. They can be networked with multiple computers, leading to even more efficiencies and space savings.
Another way to save space is by combining colour and non colour printers. This can be achieved by choosing a colour printer that can be run economically in black mode, saving the space that a dedicated black and white printer would otherwise occupy.
New and more compact printers are coming to the market every day, so check back often for the latest information on space-saving printers.
Is there a way to minimize my printer’s power usage?
In any office environment, computers, printers, copiers and fax machines sit idle as much as 90% of the time. An old fax machine or MFP unit will often be left on to receive faxes sent overnight, but you can conserve energy by choosing a printer with a good EnergyStar rating and an aggressive power-save (sleep) mode. Some new printers consume as little as 7W of energy in sleep mode.
Multi-functional printers save you money by using a single power source. They are also more energy efficient, so you save two ways.
How can I get a low cost printer without sacrificing speed and exceptional output?
Lower your cost per page by switching to a multi-functional printer that deliver greater than 35 pages per minute with exceptional output. See what’s available by checking out our lineup of multifunctional printers. You can expect to get great value because the pricing of new printers has dropped steadily this year.
Is my printer solution going to be easy to use out of the box?
Yes, mainly because user-friendly interface software puts important controls at the user’s fingertips. This means no more time wasted digging through multiple dialog boxes. Additional time savings are achieved with presets for complex printing, scanning and email tasks, and high capacity paper trays that reduce the need for user interventions. What things should I consider before making a purchase?
Before you buy just any multi-functional printer (or worse: the cheapest or smallest!), define your usage criteria and document output needs. Buying lower-end printers might save money in the short run. But in the long run most smaller units cannot handle high output printing and graphics. They are more likely to fail than more reliable new-generation multifunctional printers. Additionally, smaller units run at a higher cost than their more efficient multifunctional counterparts. For example, the purchase price of a cheap ink base multi-function printer may appear attractive, but these printers typically burn through $25-$30 ink cartridges at a very fast rate, which means this “cheap” printer is actually more expensive than a printer with a higher purchase price, but a lower operating cost because the toner cartridge lasts several months. Will I save more if I plan ahead and stockpile printer supply inventories?
Yes, it pays to stockpile supplies, particularly toners and paper. You also save by avoiding the cost and hassle involved in arranging “last minute” courrier deliveries. Planning ahead a day or two (or month) saves you money, so keep track of your stock of toners and paper. Helping you plan your inventories is just one more way Modern Desktop gives your support and service than a big box office supply store.
Is a wireless printer worth the extra money?
Wireless is an inexpensive option to add to most printers. Some printers are beginning to appear with basic wireless built-in at the factory. Where possible, it is advisable to hard-wire your printer to your network, the best way to achieve a reliable connection.
Should the physical size of a printer be a main consideration?
Typically, size should be a secondary concern to what should be the prime consideration: the purpose of the printer itself. While the smallest possible printer may fit nicely on your new desk unit, it may not be able to meet your volume and usage patterns. Ensuring you are aware of all printer criteria is our top priority.
Is correct installation really that important?
Yes. We often find customers who have not completed the installation process correctly. For example, installing the wrong drivers on a colour printer can result in poor colour results.
If I invest in a more expensive printer, will it potentially lower my operating costs?
Yes. In general, the higher the hardware investment, the lower the operating cost.
Is it worthwhile to get a consultation before making a printer purchase?
Yes. Start by doing your own research, then come to us to discuss and confirm your findings with us before making your final purchase commitment. We will make sure you consider all the key issues — resolution, memory, paper path, processor and engine speeds. We are interested in your long-term satisfaction — not just the sale of the printer.
Do you have a checklist I can use to select a printer or MFP?
Yes. Here are the questions we ask every customer:
General questions:
- Monthly volume of pages
- Type of pages
- Are they all single page or multi-page documents
- Is there a need for larger size than 8.5×14″?
- Is there a need for colour?
- Is there a budget in mind?
MFPs questions:
- Will they scan regularly or occasionally
- Will they need OCR (optical character recognition) to convert scanned text into editable text (eg. Word format).
Paper questions:
- Can the device print on the cheapest paper?
- Will it handle card stocks well?
- Are custom sizes supported? (such as for postcards or invitations)
Can Modern Desktop help me choose the best brand printer?
Our experience with the major printer brands over the last 15 years has been positive. One key advantage is that service parts are available longer and we find that major brands products tend to last longer (7-10 years or longer). Minor brands may still be OK after many years of service, but it is often difficult to get parts.
What is your definition of good colour and is it subjective?
It depends on the end use. What’s acceptable to a business owner may not be acceptable for a photographer or graphic artist, both of whom are much more aware and concerned about good quality production. We can help you choose the printer that delivers the colour quality your require.
Can the quality of a 3rd party toner/ink be just as good as a brand name?
Actually, there are two issues. One is print quality, which can vary. The other issue is that 3rd party supplies can damage a printer. Where possible we can help you make an informed choice on third-party inks that produce good results.
